Benefit eligible Team Members have a few opportunities to enroll in or make changes to their benefit options:
- New Hire
- Qualifying Life Event
- Annual Open Enrollment
New Hire
New Hires that are benefit eligible will receive notification via email with an attached Benefits letter a few weeks prior to your benefits effective date. Benefits are effective the 1st of the month following 30 days of full-time employment (based on your hire date). To enroll, you will need to log in to Ultimate Kronos Group (UKG). We encourage you to enroll as soon as possible to allow your information to transfer to our vendors for setup prior to your coverage effective date. However, enrollments must be done with 31 days of the benefit effective date.
- Log into your UKG account by clicking here: Log in – Sun Health Employee Services (saashr.com)
- Your username is first name. last name + last 5 digits of social security number (exp: jane.doe12345) and then enter your UKG password.
- You can use the “reset password” option if needed
- If you are not able to successfully log in, please reach out to our Talent Service Center team at TSC@sunhealth.org.
Navigate to- My Info > My Benefits > Enrollment > should see a box that says “New employee Enrollment” (will tell you how many days left to enroll)
- Click on “get started”
- You will need to waive or elect each available benefits before you can submit your enrollment to Benefits for review and approval.
- You will need to submit twice … once completed you’ll see it say “Submitted; pending approval” and will see it say “Completed (13 of 13)
- Your username is first name. last name + last 5 digits of social security number (exp: jane.doe12345) and then enter your UKG password.
Please note: Late enrollment for health insurance may result in catch up payments of missed premium deductions or exclusion from coverage until the next open enrollment period.
Qualifying Life Events
Outside of new hire enrollment, changes to employee benefit elections are allowed ONLY at open enrollment each year. Per IRS rules, employees cannot drop or add coverage for themselves and/or their dependents during the plan year unless they have a qualifying life event change such as:
- Change in family status such as gain or loss of benefits under another plan,
- Marriage,
- Divorce or legal separation,
- Death of a dependent,
- Birth, adoption or placement for adoption, or
- Change in spouse’s eligibility or coverage.
If you experience a qualifying life event and you wish to make changes to your current coverage, you have 31 days from the date of event to make the change. Please contact the Total Rewards team via email Benefits@sunhealth.org or by phone 602-980-1800. The staff will provide further direction on how to submit the qualifying life event and what documentation will be needed to support the change. It is your responsibility to notify Benefits of a qualifying life event.
Annual Open Enrollment
Each year, there will be a designated Benefits Open Enrollment period (typically in May). This is the one time a year, that Team Members can openly make change to their benefits without meeting a qualifying life event. Changes made during the annual open enrollment period are effective July 1st of that year.
Per regulations, team members who waive or terminate coverage during open enrollment will not be able to enroll in Sun Health plans until the following open enrollment unless they experience a qualifying life event.
